Privacy Policy

Swift Serve Pro

Last updated October 20, 2026

This policy explains what information Swift Serve Pro collects, how we use it, who we share it with, and the choices you have. We wrote it in plain English. If anything is unclear, email support@swiftservepro.com.

Who we are

Swift Serve Pro (“we” or “us”) makes an app that home-service businesses — like pressure washing and holiday lighting companies — use to run their work: customers, scheduling, estimates, invoices, payments, texting, calls and photos. We are based in Florida, USA.

The app runs on the web (at app.swiftservepro.com, and at some businesses’ own web addresses) and as an iPhone and iPad app. This policy covers all of them.

To reach us about privacy, email support@swiftservepro.com.

Two kinds of data

This policy covers two different kinds of data, and we handle them differently:

  • Data about the people who use the app — business owners, office staff and field techs. We decide how this data is used, and this policy explains how.
  • Data a business keeps about its own customers. The business decides what to collect and how to use it. We store and process it on the business’s behalf, as its service provider, and only to run the app for that business.

If you are a customer of a business that uses Swift Serve Pro (for example, you got a text, estimate or invoice from them), that business’s own privacy policy applies to you. Every business in the app gets its own customer-facing privacy policy page. Please contact the business first. If you contact us, we’ll pass your request to the business and help it respond.

Data about people who use the app

  • Account details: your name and email address, and your mobile number if your business adds it (it’s used to text you about your schedule).
  • How you sign in: with Google, with Apple, or with a one-time code we email you (you can also set a password). Google or Apple shares your name and email address with us. If you use Apple’s “Hide My Email,” we get a private relay address instead. We never see your Google or Apple password.
  • Your access: which businesses you belong to, your role (owner, office or field tech), and whether your login was approved.
  • Photos and videos you take or upload for jobs, estimates and receipts.
  • Location, only at two moments. (1) When you take a job photo in the app and you’ve allowed location access, we save where the photo was taken with it. Original photo files are kept as uploaded, so they can also carry location details your camera stored in them; copies we publish to a business’s website have those details removed. (2) During a flyer walk that you start in the iPhone app, we record your route until you end the walk, including while your phone is locked. We don’t collect your location at any other time, and we never ask for “Always” location access.
  • Time clock: when you clock in and out, and any corrections the office makes.
  • Phone notifications: if you turn them on, we store a notification token (or, in a web browser, a push address) for your device so alerts reach the right phone.
  • Activity in the app: a history of who changed what on each record, questions you type into “Ask how to…”, and how much AI each business uses.
  • Basic technical logs that our hosting providers keep, like IP addresses and request times, used for security and to keep the app running.

There are no advertising or analytics trackers in the app.

Data businesses keep about their customers

Depending on which features a business uses, this can include:

  • Customer names, phone numbers, email addresses, service and billing addresses, gate codes and property notes, and birthdays if the business adds them (for birthday postcards).
  • Texts and picture messages between the business and its customers, and the emails the business sends them.
  • Calls to the business’s number: who called and when, and voicemails (the recording and its transcript).
  • Job and estimate photos and videos, notes, estimates, invoices, prepay plans, and payment records (amounts, dates and status). Card and bank details are typed into Stripe’s or Helcim’s own payment pages; we never see or store full card numbers.
  • Customer portal logins (the customer’s phone number and a securely scrambled, “hashed,” password), and each customer’s texting and email choices, including opt-outs.
  • Service requests sent through a business’s own website form, and review requests.
  • The business’s own records, like expenses and receipts, crew pay rates, flyer routes, and bank transactions if it connects a bank feed.

The business is responsible for its own customer privacy policy and for having the right to collect and use this data. We don’t use a business’s customer data for our own purposes.

How we use data

We use data only to provide and improve the app:

  • To sign you in, check that your login is approved, and show your business its own records.
  • To send the texts, emails, calls and phone notifications a business asks the app to send, and to take payments through the business’s payment processor.
  • To build the reports, maps, schedules and documents the app shows.
  • To send you sign-in codes and important notices about your account or the app.
  • To keep the app secure, prevent abuse, fix problems and answer support requests.
  • To follow the law.

AI features

Some features use AI to help a business work faster. Examples: drafting replies to customer texts and follow-ups, labeling new texts and voicemails, writing marketing posts, emails and website pages, reading receipts, matching up columns when importing a spreadsheet, answering “Ask how to…” questions, writing the owner’s morning summary, and finding faces, license plates and house numbers in job photos so they can be blurred before the photo is used for marketing.

To do this, the text or photos involved are sent to Anthropic, which provides our AI (its Claude models). AI features run for a business only after its owner agrees on a screen in the app, and the owner can turn them off in Settings at any time. Anthropic does not use this data to train its models. AI only drafts and suggests: a person reviews before anything is sent to a customer.

Who we share data with

  • Inside a business: the business’s owner and staff see its records, depending on their role (field techs see less). Each business’s records are kept separate from every other business’s.
  • Our service providers, listed below, who process data for us only to run the app.
  • Our team, only when needed to run, support or secure the app.
  • When the law requires it, or to protect people’s safety, our rights or the app’s security.
  • If our business moves to a new company we form, or is sold or merged, data moves with it, and the new owner must keep honoring this policy. We’ll tell you first.

Our service providers

These companies process data for us, only to provide their part of the app. Services marked “only if” are used only when a business turns them on or connects its own account.

  • Supabase — Our database, sign-in system and file storage (photos, videos, voicemails).
  • Vercel — Hosts the app and runs its servers.
  • Cloudflare — Runs our domain name and forwards email sent to our support address.
  • Twilio — Sends and receives a business's texts and picture messages, connects its phone calls, and records and transcribes voicemails.
  • Amazon Web Services (Amazon SES) — Sends email: our sign-in codes, and the emails a business sends its customers.
  • Stripe and Helcim — Card payments (and bank payments with Helcim) that a business takes from its customers, through the business's own account and under that company's own terms. Card details are typed on their payment pages, not ours.
  • Anthropic — Powers the AI features, using its Claude models — only for a business whose owner has agreed to use AI. Anthropic does not use this data to train its models.
  • Google — Sign in with Google; address suggestions, if turned on; and, only if a business connects them, its Google Business Profile, Search Console and Analytics. Website speed checks send Google only the website address. Email to our support address arrives in a Google (Gmail) inbox.
  • Apple — Sign in with Apple, and delivering phone notifications to the iPhone and iPad app.
  • SimpleFIN — Brings in a business's bank transactions, only if the business connects its bank.
  • Lob — Prints and mails birthday postcards (a customer's name and mailing address), only if a business turns them on.
  • Microsoft — Imports photos from a business's OneDrive, only if the business connects it.
  • Meta (Facebook and Instagram) and WordPress — Publish the posts and pages a business chooses to share on its own Facebook page, Instagram account or website, only if the business connects them.
  • Address and map services — When someone types or saves an address, its text is sent to an address service to suggest and place it on a map: Photon (by Komoot), the US Census Bureau's geocoder and OpenStreetMap's Nominatim. A photo's location is matched to a city or neighborhood the same way. Map images come from OpenStreetMap and Esri.

Phone notifications in a web browser travel through that browser maker’s push service, in encrypted form.

What we don’t do

  • We don’t sell personal data.
  • We don’t show ads, use data for advertising, or track you across other companies’ apps and websites.
  • We don’t share data with data brokers.

Text messages

Businesses use the app to text their customers, and to text their own crew about the schedule. Each business is responsible for getting its customers’ consent before texting them. Replying STOP to a business’s text stops that business’s texts; replying START turns them back on.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except the service providers that deliver the messages.

How we protect data

  • Data travels over encrypted connections (HTTPS), and our database and file storage provider encrypts the data it stores.
  • Each business’s records are walled off from every other business’s inside the database itself.
  • Nobody gets into a business without a login its owner has approved.
  • Keys and passwords for a business’s connected services are stored encrypted, and customer portal passwords are stored hashed.

No system is perfectly secure. If you think you’ve found a security problem, please email support@swiftservepro.com right away. If a breach affects your data, we’ll tell you as the law requires.

How long we keep data, and deleting it

We keep data while a business uses the app, so its records stay complete.

Delete my account. Anyone can delete their own account in the app: Settings → This phone → Delete my account (field techs find it on their profile page in Settings). This deletes your login, signs you out on every device and removes your phone notification registrations.

  • If you work for a business, you’re removed from it. The business keeps its own records, like the jobs you worked on, because they belong to the business.
  • If you’re the only owner of a business, the business closes too. Everyone loses access right away, and all of its data (customers, jobs, estimates, invoices, photos and messages) is permanently erased 30 days later. Until then, you can email us to undo it.

Deleting a whole business. A business owner can also ask us to delete all of the business’s data by emailing support@swiftservepro.com from the owner’s sign-in email. We’ll confirm the request with you before anything is erased.

Backups. Our database provider keeps automatic backups for a short time. Deleted data can stay in those backups until they expire, and then it’s gone. Our service providers (for example, the texting and payment companies) keep their own records under their own policies.

Your choices and rights

  • You can ask to see, correct or delete your data, or get a copy of it. Email support@swiftservepro.com. We may need to confirm it’s really you, and we’ll answer within the time the law allows.
  • If your data is in a business’s customer records, that business controls it. We’ll pass your request to the business and help it respond.
  • You can turn off phone notifications, and location access, in your phone’s settings at any time. Photos still save without a location; flyer walks need location to record a route.
  • A business owner can turn off AI features in Settings.

California and other U.S. states. Depending on where you live (for example California, Colorado, Connecticut, Virginia or Texas), you may have the right to know what personal information we collect and how we use and share it, to get a copy of it, to correct it, to delete it, and to opt out of its sale or of its “sharing” for targeted advertising. We don’t sell personal information or share it for targeted advertising. To use any of these rights, email support@swiftservepro.com (an authorized agent can ask for you). We won’t treat you differently for using them. If we turn down a request, you can reply to ask us to reconsider.

Children

Swift Serve Pro is for businesses and isn’t meant for children under 13. We don’t knowingly collect data from children under 13. If you think we have, email support@swiftservepro.com and we’ll delete it.

United States only

Swift Serve Pro is offered in the United States, and our main database and file storage are in the United States. If you use the app from somewhere else, your data is handled in the United States.

Changes to this policy

When we change this policy, we’ll post the new version here with a new “Last updated” date. If a change matters, we’ll also tell you in the app or by email before it takes effect.
